Propchain Solutions Limited, trading as Prop (company number 607897) ("Prop", "we", "us", "our"), is a property development and asset management group based in Drogheda, Co. Louth, Ireland. We are committed to protecting your personal data and handling it in accordance with the EU General Data Protection Regulation (GDPR) and the Irish Data Protection Acts 1988–2018.

This statement explains what personal data we collect through our website (https://prop.ie) and in the course of our business, why we collect it, how long we keep it, and the rights you have over it.

2. Personal data we collect

We collect personal data in the following situations:

Website enquiries and registrations of interest. When you enquire about a development (for example Termon Abbey, Fitzgerald Gardens or Ballymakenny Village), register interest in a property, or contact us through the website, we collect your name, email address, phone number and the content of your enquiry.

Viewings and appointments. When you book or attend a viewing, we record your contact details and attendance so we can follow up and manage the sales or letting process.

Purchasers and tenants. If you proceed to purchase or rent a property, we collect the information needed to complete that transaction, including identity documents required under anti-money-laundering law, correspondence with your solicitor and lender, details of the property transaction, and — where applicable — details of your Help to Buy or affordable purchase scheme application received from you or the relevant authority. Some of this information is collected and shared through third parties acting in the transaction (for example estate agents, solicitors and local authorities). After handover, we keep records of snagging requests, defect reports and after-sales correspondence so we can resolve them.

CCTV and site cameras. For the health, safety and security of people and property, CCTV operates at our sales offices, show units and development sites, and construction progress cameras may capture time-lapse imagery of our sites. Signage is displayed where CCTV is in operation.

Marketing. If you opt in, we keep your contact details to send you updates about our developments, new phase releases and launch events.

Website usage data. When you browse our website, we automatically collect technical data such as your IP address, browser type, pages visited and time spent, through cookies and analytics tools (see section 8).

We do not knowingly collect data from anyone under 18, and our services are not directed at children.

3. Why we use your data and our legal basis

We process your personal data on the following legal bases under Article 6 GDPR:

To respond to your enquiry and manage viewings — our legitimate interest in operating a property sales and lettings business, and steps taken at your request prior to entering a contract.

To complete a property sale or letting — performance of a contract with you, and compliance with legal obligations (including anti-money-laundering and revenue law).

To send you marketing about our developments — your consent, which you can withdraw at any time by emailing info@prop.ie or using the unsubscribe link in any message.

To operate, secure and improve our website — our legitimate interest in maintaining a functioning, secure website; analytics cookies are used only with your consent.

To operate CCTV and site cameras — our legitimate interest in the health, safety and security of people and property on our premises and development sites.

To provide after-sales and snagging support — performance of our contract with you as a purchaser.

4. Who we share your data with

We do not sell your personal data. We share it only where necessary with: estate agents appointed to sell or let our developments; our professional advisers (solicitors, auditors, insurers); service providers who host our website and IT systems; and public bodies where we are legally required to (for example the Revenue Commissioners or under anti-money-laundering legislation).

All service providers act under contract and may only process your data on our instructions.

5. International transfers

We aim to store personal data within the European Economic Area (EEA). Where a service provider (such as an analytics or email provider) processes data outside the EEA, we ensure an appropriate safeguard is in place, such as an EU adequacy decision or the European Commission's Standard Contractual Clauses.

6. How long we keep your data

We keep personal data only as long as needed for the purpose it was collected: enquiry and viewing records are typically retained for up to 2 years after our last contact with you; marketing contact details are kept until you unsubscribe or after a prolonged period of inactivity; records relating to completed property transactions are retained for at least 6 years (and up to 12 years for deeds and title-related documents) to meet legal, tax and contractual obligations; and website analytics data is retained in aggregate form. When data is no longer needed, we delete or anonymise it securely.

7. Security

We apply appropriate technical and organisational measures to protect your data, including access controls and encrypted transmission. No method of transmission over the internet is completely secure, but we take all reasonable steps to protect your personal data and will notify you and the Data Protection Commission of any breach where the law requires it.

8. Cookies

Our website uses cookies — small text files placed on your device. We use:

Essential cookies — required for the site to function (for example security and session cookies). These do not require consent.

Analytics cookies (Google Analytics) — used with your consent to understand how visitors use the site so we can improve it. Google may process this data on servers outside the EEA under appropriate safeguards. You can opt out at any time via our cookie banner or the Google Analytics opt-out browser add-on.

Preference cookies — remember choices you make, such as form details, so you don't have to re-enter them.

9. Your rights

Under the GDPR you have the right to: access the personal data we hold about you; have inaccurate data corrected; have your data erased where there is no lawful reason for us to keep it; restrict or object to our processing, including objecting to direct marketing at any time; receive your data in a portable format; and withdraw consent at any time where processing is based on consent, without affecting processing carried out before withdrawal.
